The HubSpot Zoom integration automates this loop: meetings scheduled via HubSpot automatically get Zoom links, and meeting attendance data syncs back to the contact record after the call ends. Here’s what actually syncs, what doesn’t, and where the integration falls short for teams that want deeper call intelligence.

HubSpot integration with Zoom is useful when video calls need to connect back to the CRM record. It helps teams keep meeting activity, registrations, and follow-up attached to the right contact or deal.

What the Integration Does (and Doesn’t Do)

The HubSpot Zoom integration has two distinct capabilities that are frequently confused:

  • Zoom Meetings integration: Connects HubSpot Meetings (the scheduling tool) to Zoom so that every meeting booked via a HubSpot Meetings link automatically generates a Zoom video conference URL. The Zoom link is included in the calendar invite sent to the prospect. Meeting attendance (join/no-show) is logged on the contact record after the meeting.
  • Zoom Webinar integration: Syncs webinar registration and attendance data to HubSpot contacts. Each registrant becomes a HubSpot contact; attendance status (attended/didn’t attend, time in session) updates the contact record after the webinar. This is configured separately and is a distinct feature from Zoom Meetings.

What the integration does NOT do: it does not record, transcribe, or summarise Zoom calls and push those summaries to HubSpot. For call intelligence (AI-generated meeting summaries, next steps, sentiment analysis logged on deal records), you need a separate tool like Gong, Chorus, or Fireflies integrated with both Zoom and HubSpot.

Requirements

  • A Zoom account (free or paid – the Meetings integration works on all Zoom plan levels)
  • A HubSpot account with Meetings configured (available on all HubSpot plans including free)
  • For Zoom Webinar integration: a Zoom Webinars add-on on your Zoom account (Zoom Webinars is a paid add-on, not included in standard Zoom Pro/Business plans)
  • HubSpot Marketing Hub Starter or above for the Zoom Webinar integration (the webinar data sync is a marketing feature)

Setup: Zoom Meetings

  1. In HubSpot: Settings ? Integrations ? Connected Apps ? search Zoom ? Connect app. This installs the integration at the account level.
  2. Each user must then link their own Zoom account: Profile & Preferences ? Calendar and Meetings ? Video conference ? Connect Zoom. This step is individual – each rep links their own Zoom account so that Zoom links generated via HubSpot Meetings come from their specific Zoom user account.
  3. When creating or editing a HubSpot Meetings link, set the video conference provider to Zoom. From this point, every booking from that Meetings link auto-generates a Zoom link and includes it in the calendar invite.

Setup: Zoom Webinar (Separate)

  1. In HubSpot: Settings ? Integrations ? Connected Apps ? search Zoom Webinar ? Connect app. Note: this is a separate app from the Zoom Meetings integration.
  2. Connect your Zoom account. HubSpot will show a list of upcoming webinars. Select which webinars to sync to HubSpot.
  3. Map webinar registration fields to HubSpot contact properties (name, email, company are standard).
  4. After each webinar, attendance data syncs automatically to HubSpot contacts – attended vs no-show, minutes attended.

The most common cause: the individual user (rep) hasn’t linked their personal Zoom account to their HubSpot profile. The account-level integration connection alone is not sufficient – each user must connect their own Zoom account in their individual HubSpot profile settings. Check this under Profile & Preferences ? Calendar and Meetings ? Video conference. Also verify the specific HubSpot Meetings link has Zoom selected as the video conference provider (check the meeting link settings).

“Meeting attendance isn’t showing on the contact timeline”

Attendance sync happens approximately 30 minutes after the meeting end time, not immediately. If it hasn’t appeared after an hour, check: (1) the Zoom meeting was hosted from the same Zoom account linked in HubSpot, (2) HubSpot could match the attendee to a contact record by email address, (3) the Zoom meeting wasn’t created manually outside of HubSpot Meetings (manually created Zoom meetings without HubSpot’s tracking link won’t sync attendance).

“Webinar registration isn’t syncing to HubSpot”

Verify: (1) the Zoom Webinar integration (not just Zoom Meetings) is installed and connected, (2) the specific webinar is selected for sync in the HubSpot Zoom Webinar settings, (3) the registrant provided an email address that HubSpot can use to create/match a contact. Webinars that were not selected for sync before the event cannot be retroactively synced – registration selection must happen before the webinar begins.

Each HubSpot Meetings link has its own video conference provider setting. If a rep has multiple meeting links (30-min intro, 60-min demo), each one needs to have Zoom selected individually. Check all active meeting links under Sales ? Meetings and update the video conference provider on each.

Limitations and Drawbacks

  • No call recording or transcript sync. Zoom recordings stay in Zoom unless you use a third-party call intelligence tool (Gong, Chorus, Fireflies, Otter.ai) that bridges Zoom recordings to HubSpot deal records.
  • Meeting attendance sync only works for meetings booked via HubSpot Meetings. Ad hoc Zoom calls scheduled manually in Zoom or via calendar invite (not through HubSpot Meetings) are not tracked in HubSpot.
  • The Zoom Webinar integration requires selecting webinars for sync before they happen – retroactive sync of past webinar data is not available.
  • One Zoom account per HubSpot user. If a rep uses multiple Zoom accounts (personal and work), only the connected account’s meetings sync.
  • Zoom’s free plan has a 40-minute meeting limit for group calls. If your discovery calls exceed 40 minutes and you’re on Zoom Free, reps will need to restart meetings, which can break the HubSpot tracking link.

The Zoom Meetings integration is free on all HubSpot and Zoom plan levels. The Zoom Webinar integration requires: a Zoom Webinar add-on (Zoom pricing varies; starts around $149/month for up to 500 attendees as of 2026) and HubSpot Marketing Hub Starter or above. There is no additional HubSpot charge for the integration itself beyond the plan requirements.

Alternatives and When to Use Them
